How the RFI Process Works
- The contractor or subcontractor spots a gap, conflict or unclear detail.
- They raise an RFI, referencing the exact drawing, sheet or specification section.
- The project manager logs it and sends it to the architect, engineer or owner.
- The design team replies in writing, ideally by the requested date.
- The answer is shared with everyone affected and the RFI is closed in the log.
What a Strong RFI Includes
- Project name, RFI number and date raised
- Who is asking and who should answer
- Drawing or specification reference
- A clear, single question, with photos or sketches if helpful
- A suggested solution, if you have one
- Required response date and any likely cost or schedule impact

Keep an RFI Log
On a busy project, dozens of RFIs can be open at once. A simple log with the number, subject, date sent, date answered and status lets you spot bottlenecks before they delay the program. Many site teams keep the log in a spreadsheet next to their daily work reports and use a handover report when the project is finished.
