Keep clean records with printable cash and payment receipts. Templates include receipt number, date, payer, amount in words and figures, payment method and signature lines. Print two or three per page to save paper, or fill them digitally and send as PDF.
Record a payment rather than a request for payment
A receipt acknowledges money actually received. Enter the payer, date, amount, currency, payment purpose and the person receiving it. Where the payment relates to an invoice, order or account, include that reference so the two records can be matched. Keep the description specific enough to identify what was paid for without adding unnecessary personal information. An invoice or payment request is a separate record and should not be marked paid until the payment has been received.
Choose a standard receipt or a deposit acknowledgement
Use the cash receipt when recording a payment at a counter or a payment collected by staff. Use the deposit acknowledgement when the amount is only part of an order total. The deposit version gives separate spaces for the order value, amount received, outstanding balance and agreed due date. Record any relevant cancellation or refund terms by reference to the actual agreement; the template does not supply a business policy or a local tax rule.
Check the amounts before issuing a copy
Compare the amount in figures with the amount in words and check the currency. For a partial payment, subtract only the payment actually received from the stated amount due and verify the remaining balance. Add the payment method and transaction reference where available. If a receipt needs correcting, follow the business process for amendments or cancellation so that the original receipt number remains traceable rather than being reused for a different payment.
Keep payer and issuer records connected
Give the payer an appropriate copy and retain the issuer record with its supporting payment evidence. Use a receipt number sequence or another reference system that fits the organisation. For a deposit, keep the acknowledgement with the order and later balance payment so the customer does not have to explain the same transaction again. Before printing several receipts, check that names, contact details and any business specific fields have been replaced in the master template.
